Privacy policy

This policy covers two different groups of people, and the rules are not the same for each: visitors to this website, and callers whose calls are handled by an agent we operate for a client practice.

1. Visitors to getdentavoice.com

The pages of this site do not set cookies and do not run an analytics tracker. Two third-party services load when you use them:

  • Calendly, when the booking calendar loads on a page you scroll to. If you book a call, Calendly receives the name, email and any answers you type into its form, under Calendly’s own privacy policy.
  • Google Fonts, which serves the two typefaces used here. Your browser requests those files from Google’s servers.

If you email us, we keep the email. If you message the WhatsApp number in the footer, WhatsApp handles that conversation under its own terms.

2. Callers to a practice we work with

When a client practice forwards calls to an agent we operate, we act on that practice’s instructions. The practice decides what is collected, what the emergency script says, and how long recordings are kept.

The agent is configured to collect the minimum needed to return a call:

  • The caller’s name
  • A callback number
  • The reason for the call, in the caller’s own words

The agent does not ask for date of birth, insurance ID, Social Security number, or medical history. A caller may still volunteer information the agent did not ask for; anything said on the call is part of the recording.

Recording and disclosure

Every call opens with the agent identifying itself as an automated assistant and stating that the call is recorded. Because recording law varies by state, this disclosure runs on every call regardless of where the practice is located.

Who the data belongs to

The recordings, transcripts and lead sheet belong to the client practice, not to us. They are exported on request at any time, including after the practice cancels. A practice may ask that recordings be deleted after transcription and only the text retained.

If you were a caller and want your information removed

Contact the dental practice you called — they control the record. If you cannot reach them, email getdentavoice@gmail.com with the date and approximate time of the call and we will pass the request to them.

3. Sub-processors

Delivering a phone agent requires third-party telephony, speech and storage vendors. The current vendor list is provided in writing to any client practice or its compliance officer on request, before going live. It is not published here because it changes.

4. Retention

Call audio and transcripts are retained for as long as the client practice asks us to retain them, and deleted on request. Website enquiry emails are kept for as long as the enquiry is live plus a reasonable follow-up period.

5. Security

Access to call data is limited to the operator of this service and the staff at the client practice who have been given access. We do not sell data, and we do not use call content to market to callers.
